Changes to CBISA Plus™ for Healthcare
The Excel spreadsheet to upload needs into the Community Needs module has been enhanced. The spreadsheet now contains 5 columns of information which include: Short Title, Description, Significance, How Determined, and Data Source. The spreadsheet is also no longer protected when opened from the CBISA Help file.
On the Partnership General screen, a "Since" date has been added, allowing you to track how long you have worked with a specific partner. The date is not tied to an active year and is accessed through a standard CBISA calendar "pop-up".
When copying a Program, the "tracked since" date now correctly reflects the current active year, rather than maintaining the initial date from the original record.
When adding a new Program, the "Physician Clinic" checkbox will show immediately upon selecting a Subsidized Health Service category from the dropdown.
The following micro report has been added to notification for users who change the Average Fringe Percent field on the Reporting Unit Financial screen. "The new fringe percent rate will only affect future occurrences. To update occurrences which already exist in this active year, use the Change Fringe Percent financial tool (Options/Change Fringe Percent) and enter the appropriate date range."
The function to copy Outcomes records is now available. Simply highlight the record you wish to copy in the browse box , float your mouse over the "More" function control button and select "Copy Outcome". If you are copying an Outcome from a closed year, the date will automatically be forced to the first day of the next available active year.
We have expanded the field width for the Occurrence description when copying Occurrences. The description will no longer be truncated during the copy function.
The link for Occurrences (opening the Occurrence for the selected Program and returning to the Program record from the Occurrence page) has been made more prominent. It is now surrounded by a bright orange box and should be much more visible on the control panel.
Throughout the software, the date field automatically populates a four digit year if only a two digit year is typed in. For example, a date entered as 12/31/12 will automatically present as 12/31/2012 and no longer generate an exception error micro report.
On the Occurrence form for "Other" expenses and "Other" revenues, there is now a helpful information icon that suggests entering the description for this dollar amount in the Occurrence "Notes" section and viewing the results in on certain reports in Control Listings.
A brand new feature has been added to CBISA that allows users to reset their forgotten passwords. In order to reset your password, you MUST have a valid email address entered for your user account. To verify that your user account has a valid email address, choose Options/Org Defaults/Users and then, after highlighting the appropriate user account, select the "Edit" function control button. If your email address has been correctly entered, simply click on "Close" at the bottom of the web page dialog box and you will be returned to the User control panel. If you need to update your user account, add your email address and click on "Save", also at the bottom of the web page dialog box. To reset a forgotten password, enter the correct user name on the login page for CBISA and then click on the "Reset Forgotten Password" link below the login button. You will be prompted to enter in your email address. Then select, or click, the "Reset" button. Your new password will be sent to the email address on file with your user account. If the email address associated with your user account does not match what was entered, you will receive notification to contact your CBISA Administrator or Lyon Software.
Specifically for Reporters
When viewing Occurrences, Reporters will now be able to see (a) pending and active records that they have added, and (b) active records that others have added. The date range for available occurrences is limited to the current active year plus one year previous. If the record is included in a closed year, the word "Closed" will appear in parentheses on the control panel. If the record is included in an active year, but not entered by the Reporter, the Reporter will see the phrase "Read Only", meaning that the Reporter can view the record, but cannot make any changes. As always, if the record is still pending the Reporter will have full access to edit or delete it and any record owned by the Reporter that has been approved by a coordinator will show as "Imported".
Reporters will have the ability to copy any "Read Only" Occurrence that appears in the browse box
If granted permission by an Administrator/Coordinator on the "Advanced" tab of the user account, the Reporter will be able to have "read only" access to the Community Needs module and/or the Partnerships module.
