Defaults-User Defined Codes

User Defined Codes can be used to customize your data by flagging related Programs and/or Occurrences with a common code.  These related Programs/Occurrences can be reported together as a group, e.g., all participants from the City Public Schools could be coded "CPS" or all participants could be coded by zip code.  User definable codes can be either alphabetical or numeric.

To Add a User Defined Code:
  • Choose Options then Edit Defaults (top right hand side of screen)
  • Choose the User Defined Code tab 
  • Click on the function button Add 
  • Type in a code of ten (10) characters, or less, and a description of fifty (50) alphanumeric characters, or less
  • Designate with the available checkboxes if the code will be available on the Occurrence screen and/or the Program record 
  • Click on Save to save the new User Defined Code 

    To Edit existing User Defined Code:
  • Choose Options then Edit Defaults (top right hand side of screen)
  • Choose the User Defined Code tab 
  • Highlight the User Defined Code you wish to change and click on function button Edit
  • Make any necessary changes to the User Defined Code 
  • Click on Save to save your changes

    To Delete existing User Defined Code:
  • Choose Options then Edit Defaults (top right hand side of screen)
  • Choose the  User Defined Code tab 
  • Highlight the User Defined Code you wish to delete and click on the function button Delete
  • If the User Defined Code is currently in use, you will get a warning message asking if you wish to delete it anyway.  Click OK to proceed with the Delete, or Cancel.

    These codes are available on the Program/Objectives screen and on the Occurrences screen as check boxes.
