Goals-General

The Goals module is designed to allow you to measure your progress toward meeting goals using indicators. Goals may be broadly based and community-wide or program-specific.  Only System Administrators and Coordinators (Single and Multi) may add Goals to a Reporting Unit.  The Goal record has two sub-menu pages of data to complete:  General and Comments.

To Add a Goal:
  • Open the Goals module by clicking on the Goals tab on the main screen
  • From the General page, click the function button Add.  
  • Complete the appropriate data entry fields
      System Goal (checkbox)
      Goal Title (may be up to 66 characters in length)
      Background (free form text box allows for unlimited text entry)
      Description (free form text box allows for unlimited text entry)
      Date Recorded (calendar dropdown allows you to track the start date for recording this goal)
      Date this Goal Was (description box allows you to customize in 50 characters or less a significant event for this goal on a specific date using a calendar dropdown)  Date Achieved (calendar dropdown allows you to track the date you achieved this goal)   
  • Click Save to add your new Goal.

    A special note about System Goals.
    The System Goal checkbox is available for any Goal record.  Once the box is checked, the Goal title may be edited by a System Administrator and becomes "read only' to all other permission level users.  However, the remaining fields on the Goal record remain editable.  This allows a "System Goal" to be protected and reported consistently.  Therefore, if an Organization (System) has several goals that they want to consistently track in several Reporting Units, the goal can be created once and then copied (by a System Administrator or a Multi Coordinator) into the remaining or applicable Reporting Units.    

    To Edit a Goal:
  • From the control panel browse box, choose the Goal that needs to be edited.  Goals are sorted alphabetically by their Title.
  • Make any necessary changes and click Save to accept your edits, or click away to other module to "auto-save" them.
  • Any edits made in error can be removed by clicking Undo before edits are saved.

    To Delete a Goal:
  • From the control panel browse box, choose the Goal that needs to be deleted
  • Click on Delete.  You will get a warning message asking if you are sure you want to delete the record.  Choose Delete or Cancel.   Also, if the record is linked to another record through the Relationship Manager, you will receive a warning message.  You may choose to delete the record regardless of the linkage, or Cancel.

    To Copy a Goal:
  • From the control panel browse box, choose the Goal that needs to be copied.
  • Hover over the More function control button and select Copy Goal.
  • If you have only one Reporting Unit (or access to only one Reporting unit) a clone of the Goal will be created and placed directly beneath the original Goal in the browse box.
  • If you have access to more than one Reporting Unit in your Organization (System), you will receive a webpage dialog box upon selecting the copy function.  Select the receiving facility (Reporting Unit) from the dropdown selection list.  A clone of the Goal will be created and sorted alphabetically in the browse box of the Goals module in the receiving Reporting Unit.
  • Make any necessary edits or changes to the newly created Goal record and click on Save to accept your edits.
  • If you copy a System Goal, the System Goal checkbox will be unchecked when copying a Goal in the home Reporting Unit and checked when copying a Goal to a different Reporting Unit.

    To Link a Goal:
  • From the control panel browse box, choose the Goal that needs to be linked.
  • Hover over the More function control button and select Manage Relationships to activate the Relationship Manager, or click the Link button next to the More button.
  • While on the Overview tab, select the appropriate module from the list.  CBISA™ will automatically take you to the Detail tab for the selected module.  
  • Change an unlinked record (left side) to a linked record (right side) by selecting the record and using the arrow at the bottom of the box (or by double clicking on the record).  You may move more than one record at the time by using the "control" key on your keyboard to select multiple entries.  Administrators and Coordinators may link Goals to Community NeedsPartnerships, Programs, Narratives, Outcomes, and Indicators.  
  • To unlink records, simply move them from the linked box (right side) to the unlinked box (left side).    
  • Click Save to save your new links.  Saving a change will automatically close the Relationship Manager.  If you have not edited any relationships, use the Close button to close the Relationship Manager.  You may also leave the Relationship Manager open (on the Overview or Detail view) and select different records from the browse box on the control panel.

    Attach a File
  • To attach an outside file to a Goal record, click on the "Attach a File" link and browse to your document. You may attach up to five files of any type - including Word, Excel, or PDF - to each Goal record .  Save the Goal to attach the file.
    To remove an attached file from the CBISA™ record, click on the "garbage can" icon and then save your record.
